Payroll Specialist

Description

Payroll Processing:

  • Manage end-to-end payroll processing for both Head Office and Retail employees.
  • Ensure accurate calculation of salaries, deductions, and allowances, including variable components (especially retail sales-linked compensation).
  • Process monthly payroll in a timely and compliant manner.

Employee Benefits & Allowances:

  • Administer employee benefits including: EOBI and PESSI compliance, Medical claims processing, Fuel cards and other allowances
  • Ensure accurate and timely disbursement of all employee-related payments and reimbursements. 

Final Settlements:

  • Handle end-to-end final settlements, including: Pre-audit preparation, post-audit adjustments and Timely payout of dues.

Compliance & Coordination:

  • Ensure payroll processes are aligned with statutory and regulatory requirements.
  • Liaise closely with Finance and Internal Audit teams for payroll validation, audits, and reporting.
  • Support audit requirements by maintaining accurate records and documentation.

Attendance and Deduction:  

  • Manage Head Office attendance records and ensure accurate reflection of: Leave deductions and Absenteeism adjustments
  • Coordinate with relevant stakeholders to resolve discrepancies.

Grievance Handling:  

  • Address and resolve employee payroll-related queries and grievances in a timely manner.
  • Ensure clear communication and transparency around salary and benefits

Systems & Data Management:  

  • Utilize ERP systems and HR/payroll software for payroll processing and reporting.
  • Coordinate with IT teams and external system providers (e.g., MS 365) for system-related support and issue resolution
Qualification

Bachelor’s degree/MBA (HR or related field preferred).

Required Skills

Technical Skills:

  • Payroll processing, calculations, and reconciliations
  • Knowledge of statutory compliance, tax deductions, and benefits administration
  • Proficiency in payroll systems/HRIS and Excel for reporting

Behavorial Skills:

  • High attention to detail and accuracy
  • Problem-solving for payroll discrepancies or employee queries
  • Confidentiality and integrity in handling sensitive employee data

Experience

2–5 years of experience in payroll processing or HR operations Experience with payroll software and statutory compliance (local labor laws, taxes, and social security contributions)
