Administration and Executive Coordination Specialist

Description

Executive Support:

  • Manage calendar, appointments, and travel arrangements for senior leadership.
  • Prepare agendas, meeting notes, presentations, and reports.
  • Coordinate internal and external communications on behalf of leadership.

General Administration:

  • Oversee office operations, supplies, and facilities.
  • Maintain records, documentation, and filing systems.
  • Support onboarding of new employees and HR/Finance coordination as required.

Coordination & Communication:

  • Liaise with internal departments and external vendors for smooth operations.
  • Ensure timely follow-ups and reminders for tasks, meetings, and deadlines.

Compliance & Controls:

  • Ensure office operations comply with company policies.
  • Maintain confidentiality and secure handling of sensitive information.
  • Track expenses and maintain petty cash records accurately.
Qualification

Bachelors in Management, Administration or related field

Required Skills

Technical and Professional Skills:

  • MS Office (Word, Excel, PowerPoint, Outlook), basic ERP or office management software

Behavorial Skills:

  • Highly organized
  • Detail-oriented
  • Professional in communication
