Administration and Executive Coordination Specialist
Description
Executive Support:
- Manage calendar, appointments, and travel arrangements for senior leadership.
- Prepare agendas, meeting notes, presentations, and reports.
- Coordinate internal and external communications on behalf of leadership.
General Administration:
- Oversee office operations, supplies, and facilities.
- Maintain records, documentation, and filing systems.
- Support onboarding of new employees and HR/Finance coordination as required.
Coordination & Communication:
- Liaise with internal departments and external vendors for smooth operations.
- Ensure timely follow-ups and reminders for tasks, meetings, and deadlines.
Compliance & Controls:
- Ensure office operations comply with company policies.
- Maintain confidentiality and secure handling of sensitive information.
- Track expenses and maintain petty cash records accurately.
Qualification
Bachelors in Management, Administration or related field
Required Skills
Technical and Professional Skills:
- MS Office (Word, Excel, PowerPoint, Outlook), basic ERP or office management software
Behavorial Skills:
- Highly organized
- Detail-oriented
- Professional in communication
